Multiple Landlords per Field

Farm Works version 11 has the capability to set up multiple Landlords per field.  The user can set up any combination of Shares and Custom Charges for each landlord.  The multiple Landlords option will also be available in Farm Trac to allow Enterprise statements to be printed for Landlords.


Setup …

The Object Properties dialog box now has a new tab for setting up landlords.  Each field can have as many Landlords as needed.

For each Landlord you can set up any of the following.

  • Percentage of Harvest that Belongs to the Landlord.  This percentage of the harvested amount will not go into the users Farm Funds inventory.
  • Percentage of Each Supply Type that Belongs to the Landlord.
  • Whether or Not a Supply Type Should be Billed to the Landlord.  This handles the old “Qty Supplied by Landlord” option in the Farming dialog:  If the Supply is provided by the landlord (the supply is never in the user’s inventory) then the Bill check mark should NOT be checked.  The percentage for non-billed supplies will be used on the Landlord’s Enterprise Statements.  If the user buys the inputs and then bills the Landlords, check the Bill column for the Supply Types.  Any supply marked to be Billed can have a bill generated in Farm Funds-Income & Sales.
  • Per Charge Unit Use Charges for Any Equipment.  For example, if you charge your landlord $20.00 per acre for harvesting, set the combine head up at $20.00 for the landlord.
If you have several fields with the same Landlord info, set up one field and then use the Copy Landlord Info button when setting up the other fields that are to have the same Landlord info.
The old Landlord box in the Field Tab is now the “Farm/Ranch”.  This is used for classifying fields only.  Farm/Ranch is used in “Show Me” just like the old Landlord option.
Landlords are now Vendors.  The Names and Addresses dialog has a new check box option for “Landlord”.  When setting up Landlord Vendors, be sure to mark them as “Sell To” for billing.


Farming …

When Farming a Share Crop field, there is a new Landlords button for each field.  Clicking here will return you to the Object Properties window for the field where Landlord info can be changed.

If the Landlord info is changed, it will affect this Farming operation and any following operations, but it will not go back and change previously recorded operations.

For each supply/harvest, there is one line Landlord’s Quantity.  This is the total percent for all landlords and can represent a combination of Bill and not Bill options for the supply.

If the Bill option is checked for a supply (in the Object Properties – Landlords Tab), the quantity will not be taken out of the user’s supply inventory when the Farming action is recorded. 

If the Bill option was not checked, the quantity will be taken out of the user’s supply inventory.


  Enterprise Statements …

You can now print Enterprise Statements for a specific Landlord, or <All> Landlords.

The Enterprise Statement will show supply shares and equipment charges for the selected Landlord(s).  Supplies are listed regardless of whether the input was billed or not.  Farm Inputs Only and Farm & Landlord Inputs Enterprise Statements should print the same as before.


  Allocations (Farm Funds Only)  …
When allocating to “Field Crops – Landlord” you will be given an opportunity to split the allocation between the Landlords set up for the field. 

The default is an even split between all landlords (50-50 between two Landlords, or 33-33-34 between three Landlords, etc).

Click the Landlords button for a field to change the split.

  Billing Landlords (Farm Funds Only)  …

In the Income, Sales, and Deposits window there is a new option “Bill Landlords”.  This works much like the Templates button in that it does not sell a single item (for example a piece of equipment) but loads several supplies, and equipment charges to be sold.

First, select a Landlord (remember Landlords are Vendors now) and click the Bill Landlords button.


All farming actions with Billable Inputs will be listed for the date range.  Change the date range as needed. Select as many Farming actions as needed.  Choose an Expense or Revenue account for Equipment charges.  This is the account that will record the per charge unit amount that you set up for pieces of equipment in the Object Properties Landlord setup tab.  Select a Deposit Type and click OK.

Farm Funds will add up each supply and equipment charge for all the farming operations and list them in the Sales dialog.  Supplies default to selling for the average purchase price.  Equipment charges are allocated back to the piece of equipment that generated the charge.  You can change or delete any of the listed items by clicking on the button to the left of the sale item. 

For sales with Invoice chosen as the Deposit Type, the due date defaults to 30 days from the sales date.  This can be changed by clicking the button to the left of the Accounts Receivable.
